„Erasmus+ International“ Staff Mobility for Training (STT) – Outgoing

SHORT DESCRIPTION

The Erasmus+ Staff Training action line offers mobility opportunities to academic and non-academic staff to gain knowledge and experience abroad.
Staff members of the University of Graz can participate in short term trainings or arrange an individual visit on their own initiative at a partner institution.

STT mobility may include participation in specialized courses, Staff Training Weeks at other universities, workshops, internships, exchange of know-how within job-shadowing visits or a combination of these.

!!! Currently there are no Erasmus + International training places available !!!

TARGET GROUP

Academic and non-academic staff employed at the University of Graz and not on leave during the time of the mobility.

CONDITIONS & SELECTION CRITERIA

  • Relevance to the candidate’s field of work 
  • Employment with the University of Graz 
  • Approved Mobility Plan by the hosting university/organization (Staff Mobility Agreement – Training)
  • Erasmus+ International mobilities are limited to a maximum of three times per person per call

MOBILITY GRANT

Erasmus+ staff mobility is supported by the EU Commission and co-financed by the International Relations' budget of the University. The Erasmus+ mobility grant is a contribution towards the additional costs abroad. Travel and accommodation costs are covered up to the following maximum rates (subject to budgetary coverage):

  • Travel expenses: low-cost flight or 2nd class train rides; for travel by car: reimbursement according to the official km rates; visa costs (taxi costs will not be accepted)
  • Accommodation costs: maximum of Euro 120,-/night

Staff with severe disabilities or exceptional special needs can apply for special EU funds and need to apply to the National Agency.

WHAT NEEDS TO BE DONE WHEN?

Prior to your application     Contact a potential host department in order find out, whether and when they can host you
Application    

Application deadline: Currently no application open!

Submission of documents:

  • CV
  • Description of planned activities and information about planned period of stay (1/2-1 p.)
  • Statement of support from your direct superior
  • Invitation letter issued by host department
 
4 months before your stay    

Negotiate your training program and complete your “Mobility Agreement” with the host institution.

Apply for visa (if necessary) and organize your mobility (accommodation, insurance)

Not later than 4 weeks before the start of your mobility     Submit your “Application for Funding” to the Office of International Relations. Together with the award of the Erasmus+ grant you will be sent an Erasmus+ Grant Agreement
Before your mobility     Sign the Erasmus+ Grant Agreement ans submit it to the Office of International Relations
At the end of the training mobility     Bring a confirmation of the training activity, signed and stamped by the host institution (“Confirmation of Stay”) 
Upon return     Submit your online report in “EU Survey” database
Within a month upon return     Hand in your reimbursement of expenses together with all invoices and receipts to the Office of International Relations
After the mobility     Present the results in your unit/department

 

APPLICATION

Step 1: Contacting the relevant host department

Negotiate and define your individual training program with the host university/organization (exact dates, content, goals, etc.) and complete the form „Mobility Agreement“ (see "Downloads"). 

Please note that you might need to apply for visa and start planning your stay (accommodation, insurance, etc.) well in advance.

Step 3: Negotiating the training program and completing the Mobility Agreement

The Office of International Relations nominates staff to the receiving institution by sending the Staff Mobility Agreement. Please submit the completed and signed Mobility Agreement to the Office of International relations 4 months before your planned mobility. 

Step 4: Application for funding, Erasmus+ Grant Agreement

Please submit your “application for funding” (see "Downloads") of the Erasmus+ staff training mobility to the Office of International Relations at least 4 weeks before the start of your mobility. Together with the award of the Erasmus grant an Erasmus+ Grant Agreement will sent to you by the Office of International Relations It needs to signed before your mobility. 

Step 5: Training mobility at the partner institution

Step 6: Report and reimbursement of expenses

The mobility expenses will be reimbursed to the participant’s salary account after the training mobility and after the online report has been submitted in the “EU Survey” database. The reimbursement form needs to include all original receipts (hotel invoice, travel expenses, tickets) and a confirmation of the training mobility signed and stamped by the host university/oranization. Please use the forms “Bill of Expenses” and “confirmation” (see "Downloads"). 

The online report needs to be submitted directly upon return. Participants will receive an automatic email with the link to the online report form in the “EU Survey” database. 

The reimbursement form needs to be sent to the Office of International Relations within a month upon return.
