After we have informed the host institution that we have selected you for a stay abroad (= nomination), most host universities will send you an email with all the necessary information about the further procedure.
You must now apply independently to the host institution.
You will receive information about the respective submission deadlines and documents from your host institution. Please inquire with the host institution in good time about what you need and by when you have to apply!
Before your stay abroad, you need an approved Pre-notification (Vorausbescheid) and a confirmed digital Learning Agreement. In order to be able to generate the Learning Agreement, you first need an approved Pre-notification (Vorausbescheid). If, during your stay abroad, you will only be working on your final thesis, you do not need a Pre-notification. In this case, your thesis supervisor in Graz signs the Application for Thesis (you find it in Mobility-Online) – after that, you can start with the Learning Agreement immediately.
Important: If you do not generate a Learning Agreement and do not submit a Pre-notification (Vorausbescheid), we will withdraw your nomination to the host institution! Please note the deadlines, these must be met!
You must provide proof of the minimum academic performance abroad before your stay with your Learning Agreement and Pre-notification (Vorausbescheid). If you will spend the whole year abroad, your Pre-notification (Vorausbescheid) and your Learning Agreement must contain courses for both semesters already prior to your stay abroad.
If this minimum study performance is not fulfilled at the end of your stay abroad, a part of or the whole mobility grant must be returned.
Minimum required number of credits: Ideally, you reach 30 ECTS credits per semester abroad, that will be recognized for your studies in Graz. So, it is important that you still have enough “free” ECTS credits in your studies when going abroad.
The minimum academic performance is 3 ECTS per month of stay, which have to be recognized in Graz in the study field for which you applied for and with which you went abroad (this includes the study field and the level of studies).
If you write your final thesis (master's thesis, dissertation) abroad, the ECTS credits will be awarded by the thesis supervisor.
In the case of free electives, you should bear in mind that these must be recognized for your studies.
Further information:
- Recognition of Examinations Abroad (Director of Studies Policy) – German only
- Additional information about the Pre-notification (Vorausbescheid) and the Learning Agreement and detailed instructions will be sent on time via email – also consult the information below

More on the Pre-notification (Vorausbescheid)
Instructions for applying for the pre-recognition document can be found on the respective Dean's Office/Examination office website. In case of questions regarding the pre-notification, contact your Dean’s office/Examination office directly:
- URBI
- GEWI
- Teaching Training Programme (in German only)
- REWI
- THEO (in German only)
- NAWI
- SOWI (in German only)
The above procedure applies to students whose main enrollment is at the University of Graz.
If you are enrolled at another higher educational institution in the “Verbund Süd-Ost” (teaching training programme), please apply for the Pre-notification at the institution where your main enrollment is.
If you are enrolled in a NAWI-Graz study program and your main enrollment is not at the University of Graz, please contact your main university to find out where and how you should apply for the Pre-notification. The „Liste der beantragten Anerkennungen, Vorausbescheid“ must always be sent to be processed to your „main university“ (Study field ID: UB …/…= Uni Graz, UF…/…= TU Graz), no matter in which system the Vorausbescheid was created (UNIGRAzonline or TUGonline).
More on the Learning Agreement
After you have received the approved Pre-notification, you can create the Learning Agreement in Mobility-Online. You will receive instructions on how to do that per email. Please complete all the steps.
If you have any questions about the Learning Agreement, please feel free to contact us.
The deadlines for creating the digital Learning Agreement in Mobility-Online are:
- June 27, 2025 – stay starts in winter term
- November 14, 2025 – stay starts in summer term
Important: If your host university has an earlier deadline for the DLA, then the deadline of the host university applies. Please send us this deadline. If your host university requires you to create the DLA (sometimes called OLA) in their system, please let us know as well. The DLA must always be created at the University of Graz, not at the host institution.
Grant Agreement & Payment of the Mobility Grant
At the earliest 30 days before the start of your stay abroad, you can download the so-called Erasmus+ Grant Agreement via Mobility-Online. This agreement is the funding contract between the University of Graz and you, in which the rights and duties (Erasmus+ student charter) of both parties are regulated, as well as the funding rates and payment conditions.
Important information:
- To receive the top-ups, such as for students with fewer opportunities, additional documents will be required.
- You will only receive the mobility grant for the time you physically spend at the host institution's location.
Double funding for one and the same activity from EU funds or grants directly funded by the BMBWF or other Austrian federal agencies is not allowed. Receiving an Austrian or foreign study grant, foreign or provincial grant does not constitute double funding.
Tuition fees at the host institution and re-registration at the University of Graz
During your stay abroad you must remain enrolled at the University of Graz. Please, ensure to continue your enrollment at the University of Graz by paying the fees according to the deadlines of the Department of Academic Affairs.
We will notify the Academic Affairs Office about your stay abroad once you have submitted the original signed Erasmus+ grant agreement, and uploaded the arrival confirmation signed by the host university to Mobility-Online.
Only for students who must pay the tuition fee at the University of Graz: If you have already paid the tuition fee, you must apply for a reimbursement of the fee on your own and according to the deadlines of the Department of Academic Affairs.
Online Language Support
Online Language Support (OLS) offers you the opportunity to assess your language skills before your stay and to learn (new) foreign languages. OLS is part of the EU Academy platform, where other learning content (e.g. MOOCs) is offered in addition to language tests and language courses.
More information on how to use OLS will be sent to Erasmus+ students via email.
Insurance in the host country
You are not insured through the Erasmus+ Program. This means that you are responsible for obtaining adequate health, accident, and liability insurance while abroad.
Please make sure to independently and promptly take care of all necessary arrangements before the start of your stay abroad. It is recommended, for example, to coordinate with your health insurance provider and gather information about any existing co-insurance or travel insurance coverage through your credit card, among others. The insurance coverage must include at least health insurance, liability insurance, and accident insurance. Additionally, it is also recommended to have your own insurance against the loss or theft of documents, travel tickets, and luggage.
Through the paid ÖH contribution, you are covered for accidents and liability. Coverage applies exclusively to accidents and damages that occur within the scope of your studies, but not in private settings. More detailed information about insurance coverage abroad by ÖH can be found here.
Check if you have a valid "European Health Insurance Card" (EHIC). More information can be found here. In order to use the EHIC abroad, the data fields on the back of the e-card must be filled in completely. If the data fields are filled in with asterisks, it is not valid as proof of entitlement.
If you do not have a valid EHIC, apply to your health insurance provider for the issuance of a "certificate as a provisional replacement for the EHIC" in good time before your trip.
Accommodation in the host country
Depending on your study abroad destination, we recommend you begin your accommodation search as early as possible. If you need support or further information regarding accommodation in the host country, it is best to contact the International Office at your host university directly. Another option is to visit our Experience report portal to receive valuable guidance on this topic from former Erasmus+ outgoing students.
Visa and travel advice
Please make sure that you allow enough time to apply for your visa before your planned trip!
Please note the current information and travel warnings on the website of the Austrian Foreign Ministry. All Austrian citizens are advised to register for their study abroad period ⇒ here. In the case of all non-Austrian participants, it is advisable to inquire about this in advance at the respective embassy of their home country.
